HOW YOU CAN MAKE AN IMPACT

Executive Assistance

  • Serve as the primary point of contact for the EVP, managing correspondence (emails, letters, calls) and acting as an interface with internal and external stakeholders
  • Coordinate and maintain the EVP's calendar, appointments, and travel arrangements
  • Manage expense reporting and approvals for the EVP
Meeting & Event Coordination
  • Prepare agendas, presentations, and documentation for meetings, workshops, and major events
  • Organize and follow up on executive meetings to ensure timely execution of action items
Information & Communication Management
  • Maintain strict confidentiality in all business matters
  • Administer internal communication tools, including Q-meetings, intranet content, and information screens
  • Represent the EVP in interactions with internal and external stakeholders when required
Organizational & Data Management
  • Update and maintain organizational charts in case of structural changes
  • Ensure proper data and document management, including shared drive structure
Leadership Support
  • Assist in onboarding new leadership members within the EVP's scope
  • Review and approve time and vacation records for the EVP's direct management area

HOW YOU WILL CONTRIBUTE

  • A degree in Business Administration, combined with several years of experience in a comparable role within an international corporate environment
  • Strong organizational skills and a structured, analytical approach that enables you to quickly grasp complex contexts
  • High reliability, discretion, and a customer-oriented mindset – paired with a professional demeanor and strong interpersonal skills
  • Confidence in intercultural settings and the ability to navigate all hierarchical levels – communicating clearly, openly, and with commitment
  • Excellent German and English skills, both written and spoken
  • Proficiency in MS Office, SharePoint, and digital tools such as Microsoft Teams
  • A natural, engaging, and approachable personality that inspires others and builds trust

ABOUT THE ROLE

This position provides comprehensive executive support to the EVP of the Divisions Central Europe & Germany, ensuring efficient coordination of all administrative, organizational, and communication tasks. The role requires a high level of discretion, proactive planning, and strong organizational skills to enable the Executive Vice President to focus on strategic priorities.
