Your Tasks and Responsibilities
Organisational
• Manage material purchasing.
• Ensure the quality of purchased materials through effective stock and warehouse management.
• Develop and implement long-term fleet material management strategies.
• Maintain safety standards and performance targets, ensuring a safe working environment for all staff and contractors.
• Develop, maintain, and implement stores systems, processes, and procedures.
• Manage all related contracts and suppliers for depot operations.
• Oversee the materials and stores budget for the depot.
• Act as a direct line manager for team members, handling discipline, sickness monitoring, return-to-work interviews, and personal performance.
• Deliver materials as agreed with the Production Manager / Head of Production.
• Ensure the performance of the stores in terms of productivity, efficiency, and budget adherence.
• Liaise with the Head of Supply Chain and Logistics – UK, on major contract negotiations and management.
• Collaborate with the Head of Production, (Shift) Production Managers, and Head of Performance to forecast material requirements.
• Purchase all necessary materials.
• Manage supplier warranty claims.
• Ensure materials availability in line with stocking policies for just-in-time delivery.
• Reconcile daily fuel transactions with the Shift Production Manager or their representative.
• Ensure suppliers meet the company's material quality specifications, especially for safety-critical parts. Manage overdue materials and parts to minimize delays.
• Continuously amend re-order levels to prevent shortages.
• Produce periodic management reports for colleagues.
• Manage stores personnel to meet the requirements of Shift Production Managers and company employment procedures.
• Manage slow-moving items to maintain minimum safety stock.
• Ensure the warehouse complies with mandatory requirements and good practices.
• Manage waste streams and by-products from maintenance, ensuring proper disposal according to regulations.
• Arrange for the prompt repair, replacement, or recalibration of maintenance tools and equipment.
• Promote inter-departmental cooperation and maintain effective communication within all business levels, especially with internal Production and Technical teams.
• Conduct on-the-job competency assessments, quality inspections, and reporting procedures, liaising with necessary stakeholders.
• Lead the development of Warehouse and Stock Management Systems.
• Ensure procedures and processes support a user-friendly, accessible, and visible system compliant with relevant standards.
• Provide weekly, monthly, and quarterly reports on contract-specific performance agreements, ensuring targets are achieved.
• Support the development and implementation of standards and procedures in line with legal, legislative, and moral obligations.
• Adhere to and support the implementation of safety and quality systems.
• Embed a zero-harm culture within the production function, prioritizing people and product safety.
• Annually identify and quantify risks to complete the risk register.
• Demonstrate values-based behaviour.
• Perform other relevant tasks as required.
What are we looking for?
Essential• Sound knowledge of material supply principles, procedures and practices.
• Ability to implement strategies associated with warehouse and stock management.
• IT skills in Microsoft Office and other applications used for stock management.
• Ability to build personal credibility by demonstrating the organisation's values, building trust and proactively contributing to business success.
• Experience of driving organisational change and successful implementation within the business.
• Strong customer focus, proven ability to build productive relationships at all levels of the organisation.
• Smooth relationships when difficult circumstances prevail and develop a culture of trust both within and outside the team.
• Previous experience of team management; possess the aptitude and interpersonal skills in order to further enhance effective team working.
• Demonstrable wide ranging business knowledge & experience
Desirable
• Attained or working towards a professional qualification in materials management, logistics and/or supply chain management.
• Basic understanding of rolling stock maintenance practices including the requirements and use of materials and parts .
• A knowledge of H&S regulations applicable to the railway and the workplace
• Project management skills & experience.
• Management experience / supervisor experience.
• Working as part of a management team.
• Experience of continuous improvement.
